About The Role

The Operations Support Specialist provides day-to-day operational, materials, and administrative support to ensure schedules are met, materials arrive on time, and issues are resolved quickly. Success in this role requires organization, follow-through, proactive communication, and comfort working in a fast-paced, small-branch environment. Technological proficiency and the ability to quickly learn and adapt to new systems is a must.

Training will be provided for the right individual who demonstrates capability, accountability, and urgency.

The schedule is M-F 8am to 5pm.

What You'll Do

The essential duties and responsibilities include, but are not limited to, the following:

  • Support scheduling and coordination of materials, parts, and assemblies to meet operational deadlines
  • Track and prioritize open items, deliveries, backlogs, and shortages
  • Assist with expediting materials and following up with vendors as needed
  • Communicate with vendors, customers, and internal team members regarding order status and issues
  • Proactively follow up via phone and email to ensure actions are completed
  • Maintain organized tracking of commitments, delivery dates, and documentation
  • Support invoicing, billing, and basic Accounts Payable/Receivable processes
  • Identify discrepancies and escalate or resolve issues with guidance
  • Utilize spreadsheets (Excel or Google Sheets) for tracking and reporting
  • Maintain accurate records and documentation
  • Provide cross-functional backup support for inside sales and warehouse operations as needed

Education

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • Demonstrated technological proficiency, including experience working across multiple software platforms
  • Proficient with common business tools such as Microsoft Office (Word, Excel, Outlook, PowerPoint) or equivalent; ability to quickly learn new systems and tools is required

Experience

  • 1–3 years of experience in an administrative, operations support, coordination, or office-based role preferred
  • Experience working in environments that require tracking, follow-up, and managing multiple priorities is a plus
